Does Your RAC Know How to Contact You?

With the Region A RAC adding three issues over this past weekend, including a new issue of Pharmacy Supply and Dispensing Fees, all four of the Recovery Audit Contractors are now on board with automated review underway.  During the RAC roll-out process, often referred to as ‘town hall meetings” CMS as well as the four RACs stressed the importance of providing them the most up-to-date contact information regarding your facility.  If you do not provide this updated information the RAC will contact the individual identified in the CMS information file that they have received.  Why is this important?  If you don’t know who that contact person is (they could be long gone, the phone number and address could have changed, or they just might be the wrong person.) 

Many larger facilities, especially those with experience in the RAC Demonstration project in California, Florida and New York, have identifed a special contact point for all RAC communications, including a separate P.O. Box, fax number and email address.   This will ensure that time-sensitive RAC denials and communications will get immediate and appropriate attention.  Providers can face RAC denials by not submitting the proper medical record documentation in the required time-frame because the request is floating around the institution.

Each of the RAC websites has additonal contact information should you need to call them and ask for assitance in establishing your contact information.  As a precaution, it is advisable to document your efforts, in the event that your receive denials based on the fact that you did not respond to a medical records request that went to the wrong place.
